The Regulatory Compliance Specialist is responsible to accurately prepare, review and approve registration and licensing documents for accuracy and completeness prior to submission to the various liquor control agencies.  This position fields, investigates and responds to regulatory compliance questions.  The successful candidate will demonstrate a strong regulatory perspective and analytical skillset with attention to detail, ensuring an accurate and timely submission of regulatory documents.  This position is located in Princeton, Minnesota and supports the Corporate Regulatory Compliance department for United States Distilled Products (USDP) dba Phillips Distilling Company.

Requirements

Essential Duties

 

  • Review all required state registration and state license documentation for accuracy and completeness, approve for submission.
  • Update brand registration records in the brand log upon receipt of approvals.  Follow up as required on all past due state registration submissions.
  • Ensure item orderability is assigned in ACE for approved products.
  • Complete, file and maintain accurate documentation to obtain Alcohol and Tobacco Tax and Trade Bureau (TTB) pre-import and lab analysis approvals, certificate of label approvals, transfer in bond approvals, obtain and/or update TTB basic permits, plant registration, obtain and/or renew TTB and state required insurance bonds, trade names (dba’s), obtain and/or update domestic and international trademarks, facilitate  domestic and international distributor changes, obtain and/or renew Food and Drug Administration (FDA) Food Facility Plant Registration, and Her Majesty’s Revenue and Customs (HMRC) Spirits Drinks Verification Scheme for receiving and bottling bulk Scotch.
  • Determine and provide government panel descriptions for new items, plus review international product labels for TTB compliance.
  • Provide guidance regarding export marks on cases and shipping requirements.
  • Provide guidance on specific bottle refund statements required by various states.
  • Verify customer licenses and maintain customer ship-to records in ACE.
  • Maintain Global Standards One (GS1) barcode records.
  • Prepare and distribute brand logs and ship-to reports to internal customers and external contract customers.
  • Obtain required international registration documents such as certificates of free sale.
  • Coordinate label approval expedites with outside consultant agencies as needed.
  • Must remain knowledgeable of TTB regulations; Read, interpret and apply TTB regulations and consult TTB agents when necessary.  Responsible for following state regulations.  Read and interpret the state regulations and consult state agents when necessary.  Timely inform stakeholders regarding regulatory changes.
  • Research and gather relevant facts ensuring full compliance with regulatory requirements.
  • Support Regulatory Compliance Administrator as needed to ensure regulatory items are addressed as required to meet business needs and deadlines.
  • Effectively communicate accurate information to internal and external customers utilizing various modes of communication.
  • All other duties as assigned.

     

Minimum Job Requirements

  • High School diploma or equivalent; Associates or Bachelor’s degree a plus.
  • Previous experience in regulatory compliance and/or policy interpretation and/or customer service desirable or any combination thereof.
  • Familiar with the use of spreadsheets, word processing, e-mail, Internet.
  • Strong analytical and detail orientation; effective verbal and written communication; ability to work in a diverse matrixed environment with a “team first” approach.
  • Thrive in a fast paced, multitasking environment.
