Description JOB SUMMARY:

The Administrative Assistant is responsible for assisting all operations of the Facilities department.
Coordinate maintenance of property with appropriate support to keep project quality through inspections and follow-through, striving to maintain and improve the communities. Provide excellent customer service to all.

ESSENTIAL JOB DUTIES AND RESPOSIBILITIES:

- Help with various Facilities projects
o Data entry
o Creation / updating of Preventative Maintenance / Critical Systems Maintenance schedules.
o Creation of new forms and spreadsheets as needed.
o Other projects as needed.

- REAC Inspections Scheduling, Prep and Follow up
o Point of contact for GK on scheduling w/ inspectors and appeals.
o Responsible for any appeals and follow up on life / safety items needing completion.
o Liaison for corporate REAC questions.
o Updating SmartSheet with dates, scores, appeals, corrections, REAC docs, etc.
o REAC Book updates.

- Elevator Certification Requests
o Update SmartSheet with up to date info on elevator inspections form both vendors and city / state officials.
o Update and maintain SmartSheet.
o Update and maintain recurring WTN’s.

- Fire Alarm Inspections and Certifications
o Confirming that all properties are up to date and that vendors and city / state officials are scheduled accordingly.
o Update and maintain SmartSheet.
o Update and maintain WTN’s.

- Backflow Certifications
o Confirm that all backflow certifications are up to date and schedule vendors.
o Update and maintain SmartSheet.
o Update and maintain WTN’s

- Cap Ex Projects
o Working with RFM’s to update and maintain project schedules.
o Create orders for Cap Ex projects.
o Maintain Cap Ex SmartSheet.

- Rebate Programs
o Point of contact for rebate account managers.
o Identify potential rebate programs across all platforms.
o Work with rebate account managers on both retro and future programs.
o Assist RFM’s with rebate / Cap Ex related projects.
Requirements EDUCATION:
• High School Diploma / GED

MINIMUM EXPERIENCE and SKILL REQUIREMENTS:

1. Minimum of 3 years of administrative experience.

2. Ability to adapt to change, establish work relationships and work in a team environment.

3. Ability to multi-task and prioritize.

4. Must be self-motivated, proactive, well-organized, and able to complete assigned tasks.

5. Exhibit strong attention to detail.

6. Ability to think logically in order to troubleshoot, analyze situations, and make sound business decisions.

7. Computer proficiency in Microsoft Office, Property Management Software, Work Management Software.

8. Excellent oral and written communication skills.
