As The CORE Institute continues to grow, we are currently seeking a full-time Purchasing Assistant to join our team of professionals at our Excellence Headquarters.

Requirements

GENERAL STATEMENT OF DUTIES:

The Purchasing Assistant will manage receipt, entry, tracking, and file archiving of all purchase-related documents.

ESSENTIAL FUNCTIONS:

  1. Create and process purchase orders.

  2. Documents and maintain procedural instructions on shared drive for processes associated with the Purchasing Assistant position.

  3. Ownership of documenting revisions to Purchasing and Logistics standardized workflows.


  4. Manage document storage, electronic and paper in support of Purchasing and Logistics functions
    Ownership of Service Desk assignments & follow-up.


  5. Ownership of Purchasing Tracking Ledger including posting confirmation numbers, reassignments, cancellations and other status changes.


  6. Ownership of distribution groups to insure appropriate communications internally with staff and externally with vendors.


  7. Ownership of order placement templates.


  8. Maintenance of Initiators and Approvers worksheet and related backup.


  9. Submission, tracking and follow-up of Financial Purchase Orders including updating tracking sheet.


  10. Ownership of scanning all purchasing documents to shared drive.


  11. Maintenance of incident files on shared drive.


  12. Work with Purchasing and Logistics Team on all projects as assigned.


  13. Assist Purchasing Analyst with the maintenance of MSDS sheets.


    The job holder must demonstrate current competencies for job position.


EDUCATION:

High School Diploma or GED

SKILLS:

1. Skill in managing multiple work assignments and setting priorities.

2. Basic Excel proficiency.

ABILITIES:

1. Ability to plan, prioritize and complete work assignments.

2. Knowledge of coding and policies associated with General Ledger.

3. Ability to think critically and solve problems unique to Purchasing and Logistics functions.
